Article Versioning in Knowledge Base

Article versions are very important and useful for keeping track of every action done on articles related to editing and status change.

In BoldDesk, you can view the version history to track what changes have been made in the articles.

The following are some of the uses of the article version:

  • Tracks every change made from article creation to the current draft.
  • View the comparison for each version to identify the changes.

How the article version generates

A version is created for every content to track the editing process and change of status to publish or from publish to another status.

The other property changes such as SEO, tags, and category are not created.

The following are two types of version formats that will be created based on the actions:

  • Major version
  • Minor version

Major version

A major version is only created when the article is published and can only be viewed in the customer portal.

Example of the major version format: v1.0, v2.0, v3.0

Minor version

A minor version is created for every content draft but cannot be viewed in the customer portal.

Example of the minor version format: v1.1, v2.2, v3.2

View version history

The following are the steps to view the version history:

  1. Click the Knowledge Base (KB) module and navigate to the article where you want to see the version history.
  2. To view all the versions of an article, select the Revisions tab.

Compare versions

You can specifically compare two versions of an article and view the difference between the versions.

This helps to track the changes made to an article. While comparing you only view the difference in read-only mode but cannot edit.

The following are the steps to compare versions:

  1. Click the Knowledge Base (KB) module and navigate to the article where you want to view the version history.
  2. To view all the versions of an article, select the Revisions tab.
  3. Click the Open option in the pop-up menu.

  • After clicking, the version comparison page will show the color changes. Newly added content is displayed in green, and removed content is displayed in red.
  • In the version dropdown menu, you have the option to choose the previous or next version while comparing versions, and the URL will dynamically change based on the selected versions for comparison.
    To view the exact changes between those versions, you can use this comparison URL.

Note: Compare only the title and description of the article. Other properties of the article can’t be tracked or compared.

Restore version

You can restore the version of the article in the following two ways:

  • From the Revisions tab – Restore the specific version directly.
  • From the Comparison page – Compare the changes and restore the version.

Follow the given steps to restore version:

  1. Go to KB Module in the left-side menu.
  2. Select an article and click the Revisions tab.

  1. After clicking the Revisions tab, click the more options icon on the version you want to restore and click the Restore option.

  1. You can restore the version on the Comparison page by clicking the Open option.

  1. Click the Restore Version button, a pop-up will be shown with a confirmation to restore.

  1. Click the Restore option, a new version with a Draft status is created.

Note: The current version of an article cannot be restored.
